Privacy & event records
Matmatcher helps gym organizers collect applications, review BJJ superfight proposals, and record coach and organizer decisions.
What is collected
Applications include an athlete’s name, date of birth, division, belt, weight, academy, coach contact and competition experience. Adult athletes provide an email. For minors, a guardian provides contact information and permission. We do not request medical histories or payment details.
Who can see it
Your event organizer and authorized staff can access event applications. Coaches receive a private link to one proposal and see names, competition ages, academy, belt, weight and experience. Coach pages do not disclose full dates of birth or guardian contact information.
Organizer accounts
Organizers verify their email address and provide a gym name and workspace address. Each workspace’s event records are restricted to its owner and authorized staff. Creating an account does not give access to another gym’s applications.
Academy search
When Google academy search is connected, the academy search text is sent to Google Maps to suggest names and locations. Athlete, guardian and coach details are not sent with these searches. You can also enter an academy name manually. We retain the academy name you submit with your application; we do not retain Google suggestion lists or their addresses.
Google Maps features are subject to the Google Maps terms and Google Privacy Policy.
What happens next
Applying does not confirm a bout. The organizer verifies coach authority. Both coaches must explicitly accept, any required guardian authorization must be recorded, and the organizer must confirm.
Updates, export and erasure
Use the private link in your acknowledgment to update competitive details before registration closes. Ask your organizer to correct identity/contact information, withdraw, export your records, or erase personal details. Erasure invalidates active proposals and retains an anonymized operational audit. The organizer’s contact email is shown on the event registration page.
Retention
Event records remain available to the organizer until erased. Ask your organizer about the event’s retention period or to request erasure. Erasure removes personal details from active application records, associated proposals and pending messages. Existing backup copies expire according to the hosting provider’s backup retention schedule; erasure does not immediately remove those copies.
